Job Description

We are seeking a dedicated and detail-oriented Administrative Assistant to join our team. The ideal candidate will play a crucial role in supporting day-to-day operations, providing administrative support to our team, and ensuring the efficient functioning of our office.

Responsibilities:

General Administrative Support:

Answer and direct phone calls in a professional and courteous manner.
Greet and assist visitors, ensuring a welcoming and positive experience.
Manage and organize office supplies, ensuring adequate stock levels.
Communication:

Draft, proofread, and edit emails, letters, and other doents as needed.
Handle incoming and outgoing correspondence and inquiries promptly and professionally.
Calendar and Meeting Management:

Coordinate and schedule appointments, meetings, and conferences.
Prepare meeting materials and take accurate meeting minutes when required.
Data Management:

Maintain organized and up-to-date filing systems, both electronic and physical.
Assist in data entry and ensure the accuracy and integrity of information.
Travel and Event Coordination:

Make travel arrangements and coordinate logistics for business trips.
Assist in planning and organizing company events and functions.
Office Equipment and Technology:

Monitor and maintain office equipment; coordinate repairs or replacements as needed.
Assist in basic IT tasks and liaise with the IT department when necessary.
Confidentiality and Professionalism:

Handle sensitive information with discretion and maintain a high level of professionalism.
Uphold company policies and procedures.


Candidate Requirements

Qualifications:

High school diploma or equivalent; additional education or certifications in office administration is a plus.
Proven experience as an administrative assistant or in a related role.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Excellent organizational, multitasking, and time-management skills.
Strong written and verbal communication skills.
Attention to detail and accuracy.
Ability to work independently and collaboratively in a team environment.
