Qualification
- Bachelor degree graduate
- Minimum experience of 5 years in beaty saloon
- Must be proficient in English, speaking, reading and writing. Arabic is a plus
- Excellent knowledge of Microsoft Office
- Strong knowledge of office policies and procedure
- Excellent organizational and time-management skills
- Problem-solving attitude with eye for detail
- Analytical thinking
- Flexible in time schedule, including weekends and holidays & willing to extend working hours
- Must be in town and available for trial
Job Description
• Greet and assist visitors to the office
• Organize and schedule appointments and meetings
• Maintain customer contact details both soft & hard copy
• Assist in the preparation of regularly scheduled reports
• Maintain employee records (soft and hard copies)
• Update HR databases (e.g. new hires, separations, vacation and sick leaves)
• Process & renew government permits & staff employme visa
• Provide general support to visitors
• Prepare the monthly payroll, update & create expenses reports
• Process reimbursement & prepare bank deposits
• Maintain digital and physical financial records
• Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
• Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
• Contribute to team effort by accomplishing related results as needed
• Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
• Maintain up-to-date employee holiday records & organize annual travel booking for the staff.
• Write letters and emails on behalf of the company & attends telephone, or face to face inquiries
• Cover the reception desk when required
• Maintain computer and manual filing systems
• Handle sensitive information in a confidential manner
• Take accurate minutes of meetings
• Resolve administrative problems
• Receive, sort, and distribute the mail
• Manage staff appointments
• Oversee and supervise the work of junior staff
• Provide polite and professional communication
