Key Responsibilities:
• Order Processing and Management:
o Prepare purchase orders accurately based on approved requisitions, ensuring all necessary information is included.
o Coordinate with internal stakeholders (e.g., project managers, end-users) to gather requirements and ensure order accuracy.
o Liaise with suppliers to obtain quotes, negotiate prices, and ensure timely delivery.
o Track order status and proactively address any potential delays or issues.
• Supplier Management:
o Build and maintain strong relationships with suppliers.
o Evaluate supplier performance based on factors such as price, quality, delivery, and service.
o Identify and onboard new suppliers as needed.
o Resolve supplier discrepancies and issues effectively.
• Inventory Management:
o Monitor inventory levels and identify potential stock outs.
o Assist in the development and implementation of inventory control procedures.
o Participate in periodic inventory audits.
• Doentation and Record Keeping:
o Maintain accurate and up-to-date records of all procurement activities, including purchase orders, invoices, contracts, and supplier performance data.
o Ensure proper filing and storage of all procurement-related doents.
• Support Administrative Functions:
o Assist with the preparation of procurement reports and presentations as required.
o Provide general administrative support to the Procurement Department as needed.
