1.Reporting to Leadership: Report directly to the General Manager and provide administrative support to the Senior Project Managers as needed.
2.Email Correspondence: Respond to all emails addressed to the General Manager and Senior Project Manager, ensuring prompt and professional communication.
3.Job Inquiries: Handle incoming job inquiries, gather necessary information, and direct them to the appropriate department for further processing.
4.Doent Control and Filing: Maintain an organized system for both digital and hard-copy records, ensuring easy retrieval and confidentiality of doents.
5.Record Keeping: Maintain meticulous records of all correspondences, contracts, and other relevant doents for future reference.
6.Project Reporting: Collaborate with project managers to compile daily, weekly, and monthly projects reports.
7.Tender Submissions: Assist the Engineering department in the timely and accurate submission of tenders, including organizing doentation and ensuring compliance with submission requirements.
•Bachelor's degree in Business Administration, Secretarial Studies, or a related field is preferred.
•Proven experience as an executive secretary or similar role in the construction industry is a significant advantage.
•Exceptional organizational and multitasking skills.
•Proficiency in Microsoft Office Suite and email management.
